Job Title: Front Desk / Visitor Services Assistant

Hours: Regular, Full Time. 28 - 35 hrs/week, evenings and weekends are required periodically during the year and moving to 35 hours a week during the summer when we open 7 days a week.

Salary: 28 - 35 hours/week ~ $17.50/hour (+ benefits after 3 month)

ABOUT THE POSITION

The Penticton Art Gallery is seeking a motivated individual to join the gallery as the Front Desk / Visitor Services Coordinator. This role will provide administrative support and stewardship to areas of reception, membership, volunteering, fund development and general gallery operations. This position will work closely with all gallery departments to develop successful programs and foster strong relationships within the community.

RESPONSIBILITIES

• Welcome visitors to the Penticton Art Gallery, providing information about current and upcoming exhibitions, programming, and special events
• Sell merchandise from the Gift Shop, providing assistance and information about products
• Manage registrations for children’s, adult programming and special events creating guest lists and sign in sheets
• Direct calls and inquiries to the appropriate team member, receive shipments and deliveries
• Assist with maintaining the daily gallery attendance records and statistics
• Assist with maintaining the database of gallery members, sponsors, and donors
• Assist with recruiting and managing volunteers for the gallery and special events
• Assist the programming coordinator with setting up rooms for classes and events
• Assist the gallery mailouts such as the ArtsLetter and thank you letters
• Assist with developing and delivering annual targets in areas of fundraising, sponsorship, and membership
• Assist with grant applications, donor cultivation, and communications
• Support fundraising events, appeals, and other initiatives
• Implement best practices for fundraising and volunteer activities
• Utilize Vend to run reports, queries, and manage selected communications
• Provide administrative support to other departments as necessary

QUALIFICATIONS

• A genuine interest and working knowledge of the arts and culture industry
• Able to work collaboratively with other gallery departments
• Able to exercise discretion and sound judgment when dealing with confidential matters
• Strong administrative and project management skills
• Excellent written and verbal communication, interpersonal, and organizational skills
• Excellent computer skills including experience with Microsoft Office, experience with Vend and the Square POS system is considered an asset
• Experience coordinating volunteers and small project teams an asset
• Experience with non-profit organization, fundraising, and working with a Board of Directors are considered assets
• Keen eye for detail and a drive to deliver results and exceed expectations
• Able to work flexible hours including occasional evenings and weekends

All customers and staff are required to wear masks in the public gallery spaces. Plexiglass has been installed to ensure proper distancing between staff and the public.
